REPORTS TO (Title):

Manager, Therapeutic Services

The Outpatient Services Department has an opening for a Casual Clerk III position. The successful candidate must be able to meet the normal requirements of the job and possess the following qualifications:

QUALIFICATIONS/EXPERIENCE:

 

  • Completion of post-secondary education at the college level specializing in office administration or equivalent experience and training as determined by Riverside Health Care.
  • Minimum of three years’ experience in office administration and/or related field.
  • Ability to work independently, self-motivated (insight into how to manage and consolidate procedures for a number of departments).
  • Excellent knowledge of the use of computer software in Excel and Microsoft Word.
  • Knowledge and skill in computer word processing (including graphics and tables etc..) word perfect, Meditech, Ormed, Excel and Novari.
  • Ability to assist visiting specialists with Dictation equipment as necessary.
  • Medical terminology necessary.
  • Demonstrated competency and dependability excelling in general office managing procedures and work organization.
  • Demonstrated ability to maintain strict confidentiality.
  • Demonstrated ability to deal with the public in a mature fashion.
  • Excellent decision-making and scheduling skills and ability to deal with complex and ever-changing situations.
  • Flexibility necessary due to variety of responsibilities.
  • Ability to work both under supervision and independently as a departmental team member.
  • Demonstrated ability to work with diverse groups of consumers and staff.
  • Excellent telephone and interpersonal communication skills.
  • Demonstrated strong written and verbal communication skills.

  • Proven ability to perform the essential duties of the position on a regular basis.

 

BASIC RESPONSIBILITIES:

 

  1. Under the guidance of the Manager of Therapeutic Services, is responsible for the overall office administration duties of the Ambulatory Support and Rehabilitation Services.
  2. Provides administrative support for the Manager of Therapeutic Services.
  3. Scheduling of out-patient appointments as assigned.

 

SPECFIC DUTIES:

Supervisory

  • Develop and maintain a good working rapport with inter and intra departmental personnel to assure proper communications.
  • Under the guidance of the Manager of Therapeutic Services prepares staff schedules and completion of payroll submission electronically.
  • Contributes to the development of departmental policies and/or procedures.
  • Assists Manager of Therapeutic Services in recording/reporting all incidents/accidents.
  • Purchase and inventory of office supplies, equipment and furnishings, and ensure maintenance of machines and building.
  • Participates in internal and external committees as deemed necessary.
  • Recommends to the Manager of Therapeutic Services procedures to ensure smooth workflow and communication.
  • Scheduling of all out-patient appointments for Visiting Specialist program or any other departments as assigned
  • Handles day to day word processing for all of departments i.e.) reports, correspondence, proposals, letter to Physicians, letter to patient regarding appointments and referrals,
  • Maintains and updates entries to the Breast Clinic’s and education and promotion of program
  • Conduct post discharge phone calls as assigned
  • Assists with uploading and management of MedTox documents system as assigned

Statistical

 

  • Monthly submission of statistical journal entry in prescribed format to Manager of Therapeutic Services for Visiting Specialist Program
  • Assist Finance with data quality issues for internal & external purposes.
  • Promote the following goals:

    • Maintain high quality service. 
  • Maintain good working relationship within all departments
    • Ensure timely responses to requests for information or services
  • Ensure deadlines and requirements are met for internal and external submissions.

 

Financial

 

  • Responsible for ordering of supplies with approval from the Manager of Therapeutic Services in Orme and non-stock requests.

 

General

 

  • Attend and participate in in-service educational sessions and on-the-job training programs, workshops, seminars, as approved.
  • Promote goals and objectives of the corporation:
    • Adhere to the Occupational Health & Safety programs, standards and practices.
    • Adhere to policies and procedures of the department and the corporation.
    • Adhere strictly to principles of confidentiality.
    • Promote continuous quality improvement principles and participate in ongoing activities.
  • Such other duties as may be designated from time to time by the Manager of Therapeutic Services
  • Performs all other clerical duties necessary to organize and manage office procedures. (Photocopying, errands, ordering and maintaining supplies, sorting of mail etc.)
  • Answer the telephones and takes messages, ensures efficient distribution of such
  • Maintains filing for these services as well as purging of files and documentation required for shredding schedule.
  • Design and produce pamphlets, posters, displays and ads for promotional purposes for the above services.
  • Minute taking for meetings in departments as assigned.
